Inviting Users to Your Project

Inviting your team members and external stakeholders to collaborate on your project has never been easier! You can share a project from your home page or directly from the project.

The Invite People feature makes sharing your project with team members and external stakeholders easy. This allows others to view the progress, provide feedback, and collaborate seamlessly directly within the Project.

Inviting Users to a Project

You can invite your team to your project from Studio Home by clicking on the hamburger menu in the project thumbnail > Share > Invite People. 

 


You can also invite users from within your project. Click on the Share icon in the top panel to access the Invite People option. 

 

 

 

You can invite users to your project either as editors or viewers. Viewers have limited access, allowing them to view the project content, preview generated blocks, and leave comments. In contrast, editors have full editing privileges, enabling them to modify the project’s content as needed.

You can add existing users from your workspace and modify their access level (either viewer or editor) by simply clicking on the text field. A dropdown menu will appear with a list of existing users to select from. Alternatively, you can invite new users by entering their email addresses.

             


For larger teams where access requests may come from multiple members, you can easily share your project by copying the project link. Team members can then request access to the project, allowing you to review their requests and assign permissions according to your preferences.

                   

 


Permissions and  Access Management 

Permissions


By default, all new projects inherit their access permissions from their stored folder. If the project is located outside any folders, it is treated as if it were in a public folder.

  • If a logged-in user attempts to access a project without proper permissions, a prompt will appear requesting access.
  • If the user is not logged in, they will be prompted to enter their email address when requesting access.
  • If a project is stored in a private folder and shared with a user who does not have access to the private folder, the project will appear in the “Shared with me” folder. This folder can be accessed through the left folder panel and allows users to view and collaborate on the project.

Access Management

When inviting an editor or viewer who is not currently part of the workspace from a project, they will be added as either a restricted viewer or restricted editor in the workspace. This ensures that they only have access to the specific items that have been shared with them.

Additionally, an editor or restricted editor user can invite a new user to the project as a restricted editor, only if seats are available in the workspace, without requiring payment. 

 



Project States

Logged in user with View permissions (View-Only)

  • When in the View-only state, the user can observe the project and leave comments while also having access to the live project status.
  • The user will always view the newest rendered timeline, and any changes made by an editor will be immediately visible to the viewer.
  • The viewers can also access the voice selector and explore the various voices.

Logged in user with Edit permissions (Edit-Only)

  • Users with editing permissions will be able to access the edit state of the project.
  • If someone else is editing the project, the user will be directed to the view-only state and given the option to take control.


Request Access: Edit and View


  • If a viewer wants to edit a project, they can click on the “Request to edit” button.
  • This action will prompt a list of admins who can upgrade them to an editor.
  • The viewer will have the option to select multiple admins to send the request to.
  • The admins can then decide to grant the user editing access.
  • If the user is already an editor, the list will also include the project owner and the admins, granting them edit access to the project.
